Answers about websites, automation, software, pricing and ongoing support
Working with us
What does West Country Digital do?
We bring professional websites, practical automation and bespoke software together in one team. We start with how your business works, agree the scope clearly and support what we build after it goes live.
Can we discuss more than one service?
Yes. Select any combination of Websites, Automation and Software when booking your call so we know what you would like to discuss.
What happens on the first call?
In a free 30-minute Google Meet call, we discuss what you need and recommend a practical next step. There is no obligation to proceed.
Where can we find pricing information?
The Pricing page explains each service separately, including the website monthly fee, automation implementation fee and software build payments.
Websites
What do you need from us?
Your services, contact details, branding and any photographs you want to use. We design and write your website around your business.
When will we see the website?
Your first version is ready to see within 48 hours after you send the key information about your business.
Can we request changes?
Yes. You have at least seven days to review your website before the monthly service begins. Ongoing content changes are included after launch.
Do you connect our existing domain?
Yes. Domain connection is included in the monthly service. Your domain remains yours.
Can we cancel?
Yes. There is no long contract. The website remains live until the end of your paid period, then the managed service ends and the website is taken offline.
Automation
What does your automation service do?
We build systems that remove repetitive operational work from your business. Instead of people spending hours on admin, enquiries, follow-ups, reporting or data entry, those processes run automatically in the background so your team can focus on higher-value work.
What kinds of businesses do you help?
Any business where a meaningful amount of staff time is spent on repetitive operational work. This includes admin, recruitment, enquiries, reporting and internal workflows.
Businesses of all sizes benefit, though the impact tends to be most immediate for those where every hour saved directly improves capacity and profitability.
Have you worked with businesses like mine?
Yes. One example is Lilies Home Care, where recruitment administration that took five hours a week now takes ten minutes. You can read the full example on our testimonial page.
What exactly can you automate?
We typically work across six areas:
- Enquiries and lead handling
- Follow-ups and client communication
- Recruitment and onboarding
- Bookings and scheduling
- Reporting and admin
- Internal workflows between tools
If a process is repetitive, rules-based or happens frequently, it is usually a candidate for automation.
Do you build websites as well as automation systems?
Yes. We build websites designed to work with automation from the start, so enquiries are automatically captured, responded to and routed correctly.
Do I need to understand artificial intelligence (AI) or automation to work with you?
No. You do not need any technical knowledge. We identify what can be automated, design the solution and explain everything in plain terms throughout.
How does the process work?
It starts with a free 30-minute call to understand your business and identify where time is being lost.
After the call, we design a solution and send a formal proposal outlining scope and expected value.
Once agreed, we build and test the system. When it is ready, we deploy it with full documentation and support.
How do you decide what to automate?
We focus on work that is repetitive and has a clear measurable impact, such as time saved, cost reduced, fewer errors or faster response times.
The goal is to prioritise changes that create meaningful operational improvement, not small marginal gains.
How quickly will I see results?
Usually as soon as the system goes live.
Because we focus on high-impact workflows first, improvements are typically immediate rather than gradual.
What if I already have systems in place?
That is not a problem. In most cases we work with your existing tools rather than replacing them.
The biggest gains often come from connecting systems together so information flows properly between them.
Will this disrupt my existing processes?
No. We map your current workflow, build around it and test thoroughly before anything goes live.
Nothing is switched on until we are confident it will run reliably in your day-to-day operations.
How does pricing work?
We agree a measurable baseline with you on a call, set a fixed implementation fee based on that value, and only invoice once the system is live and performing as agreed. If we cannot deliver the agreed outcome, you do not pay for the build. See our pricing page for a full breakdown of how it works.
What if the automation breaks or something changes?
We monitor and maintain your system through the monthly retainer.
If something breaks or needs updating due to changes in your tools or processes, we fix it. Because we built the system, issues are usually resolved quickly.
What is included in the monthly retainer?
The retainer covers monitoring, maintenance, fixes, updates and ongoing support.
It ensures your system continues to work as your business evolves, and you always have a direct point of contact who understands your setup.
How do you measure the value of an automation?
We measure value based on tangible business impact. Time saved, cost reduced, errors avoided and revenue gained from improved efficiency.
We agree this baseline with you before any work begins so everything is clear and measurable from the start.
How much time or money could automation save me?
We discuss the process on a free call, measure the time your team currently spends on it and agree a realistic baseline. That gives us a clear basis for assessing the potential impact before any work begins.
What makes you different from a large agency?
You work directly with the people building your system with no account managers or unnecessary layers in between.
We focus on delivering practical outcomes and we would rather build one high-impact system than sell you a package of features you do not need.
How do you handle data and UK data protection law (UK GDPR)?
We design systems with UK GDPR in mind from the start. We only use the data necessary for each workflow and ensure it is handled appropriately, securely and transparently.
West Country Automation Ltd is registered with the Information Commissioner's Office under registration number ZC186083, has completed the NHS Data Security and Protection Toolkit, the assessment the NHS uses for organisations that handle health and social care data, and is Cyber Essentials certified, the UK Government-backed standard that protects against the most common cyber attacks. You can verify all of these on our compliance page.
Do you offer guarantees?
If the automation does not deliver the baseline outcome agreed at the start, you do not pay the implementation fee. We only take on work where we are confident we can create measurable impact.
Software
Can you replace several existing tools?
Yes. We scope the workflows and features you need and build a system around them, including integrations where they are useful.
How is the build fee paid?
The fixed build fee is agreed upfront and split between the start of the build and the point when your software is complete and live.
Who maintains the software?
Our team provides ongoing maintenance and support through a set monthly retainer.
Can we discuss automation and software together?
Yes. Select both when you book. We can discuss the whole process and recommend the right combination.
